The working flow

How the work moves.

Before we build anything, we check the documents and the permissions around them. The assistant must be able to say when the material does not support an answer.

Access and responsibility

Enough access to do the job. No more.

01

It can look at

Approved SharePoint, OneDrive or document locations, respecting the permissions already attached to the user.

02

It can prepare

Source-linked answers, comparisons, draft procedures and a record of conflicting or outdated material.

03

People remain responsible for

Which documents are authoritative, how conflicts are resolved and whether a draft becomes official guidance.

Representative output

A useful answer includes where it came from.

When the sources disagree or do not answer the question, the assistant says so. Confident wording is not a substitute for evidence.

Typical timing

Once the source locations and document owners are agreed, a pilot usually takes two to four weeks.

When this is worth considering.

Worth a closer look

Staff lose time looking for established information and you can name a manageable set of documents that should be trusted.

Hold off for now

Most documents are obsolete, permissions cannot be trusted or nobody can say which source takes precedence.

Practical questions

Will everyone see every document?

No. The assistant should respect existing permissions and be tested with users who have different levels of access.

What happens when the documents disagree?

The conflict is surfaced with links to both sources. A document owner decides which guidance should stand.
